  • Permanent 37.5 hours per week Monday - Friday
  • Salary: £11.44 per hour (22,384.79 per annum) + excellent benefits

We now have a fantastic opportunity to join Beaverbrooks Property Services Department as a Property Services Admin Assistant. 

The role of a Property Services Assistant is to support the Team in maintaining our high Visual Image Standards across our estate as we continue to grow and develop our successful Beaverbrooks Stores & Loupe Boutiques across the UK.

You will primarily support the Property and Estates Manager ensuring the delivery and implementation of reactive and planned maintenance together with all aspects of FM and Statutory compliance across the Beaverbrooks Store portfolio, Loupe Boutiques and Lytham St Anne's Office Buildings. 

Working closely with other members of the Property, Store Design and Visual Image Team, Store Teams, Office Departments and our contractors and suppliers, you will ensure we deliver an exemplary service to our colleagues so we can continuously provide the best in-store experience for our customers.

KEY RESPONSIBILITIES

This role calls for a highly organised person, with a real passion for supporting others and a strong ability to demonstrate exceptional teamwork at all times. 

  • Answering and responding to all telephone, postal and e-mail enquiries directed to the Property Services Team promptly (External and Internal) and appointing suitable contractors to maintenance calls.
  • Filing all information/ drawings/contract details digitally and within the necessary files and maintaining up to date records.
  • Assisting and supporting the Property and Estates Manager with any project-related tasks and daily admin.
  • Monitoring all existing contracts ensuring that contractual visits are completed and recorded as necessary.
  • Ensuring all invoices are entered onto our internal database daily and processed via our finance team to ensure prompt payment.
  • Organising planned and reactive visits from our contractors to Office and accompanying them as and when required to do so whilst they complete their work.
  • Reporting in weekly to your manager, highlighting priorities and where current projects are up to and offers solutions to any challenges.
  • Contributing and inputting ideas to further develop the store design team & processes and taking an active role in all department meetings.
  • Provide feedback to colleagues and suppliers.

ESSENTIAL SKILLS

  • Must be able to use most Microsoft programmes such as Word, Excel, Powerpoint, One Note and Outlook.
  • Highly organised and efficient – able to multitask and prioritise effectively
  • Strong attention to detail
  • Excellent communicator
  • Fantastic team player and supporter
  • Driven, proactive and conscientious
  • Ability and confident to give feedback and have good questioning skills.
