Job Introduction

  • Special Orders Administrative Assistant
  • Lytham St Anne's, Lancashire
  • Full Time - 37.5 hours per week, Monday-Friday 9am-5pm. 
  • £11.44 per hour + excellent benefits
  • Close date: Sunday 7th April

We have an exciting opportunity for a self-motivated and highly organised individual to join our busy Special Orders department, as an Admin Assistant.  

This role is for a Full-Time person 37.5 hours this is Monday to Friday and flexibility will be required at peak times, this could include weekends which will be on a rota system and provided in advance. 

As the Admin Assistant you will be passionate about delivering a great customer experience and will support the team in their purpose of fulfilling customer orders as efficiently and profitably as possible.

Main Responsibilities 

The role will involve the following:

  • Completing the Store orders using our inhouse system Elucid, for our customer orders 
  • Communicating with our suppliers and stores using phone and email 
  • Obtaining quotes from suppliers and calculating retail prices, whilst maintaining profit margins
  • Chasing and communicating with suppliers on our outstanding orders  
  • Ensuring all audit controls are met to ensure stock levels are correct. 
  • Decision making based on balancing customers’ needs with company profitability.
  • Using Microsoft Dynamics NAV to: 
  • Checking stock availability and upcoming stock orders
  • Chasing orders with suppliers

The Ideal Candidate 

ESSENTIAL SKILLS AND EXPERIENCE 

  • Excellent verbal and written communication skills 
  • Experience in the use of Microsoft packages, predominantly Outlook & Excel
  • Ability to prioritise tasks and manage time effectively to meet deadlines.
  • Analytical and organised
  • Quick to learn new systems and procedures.
  • Flexible working approach and ability to thrive on a reactive department.
  • Self-motivated and positive
  • Ability to work within a team, on your own and under pressure.
  • Ability to follow set procedures. 

DESIRABLE SKILLS AND EXPERIENCE 

  • Experience of using Microsoft Dynamics NAV
  • Previous experience within a customer service role and/or quality control
  • Confident decision-making skills
  • Knowledge of Beaverbrooks product
