HR Admin Assistant

Job Introduction

  • Admin Assistant 
  • Part time - 26 hours per week (4 or 5 days a week, Monday to Friday)
  • Permanent
  • £11.50 per hour/£15,601.52 per annum (pro rata of £22,502.19)
  • Close Date – Sunday 28th July

Are you an experienced administrator with a strong eye for detail & accuracy? Join our people support team at Beaverbrooks and be a key member of our team, working with people in a supportive, caring and highly accountable culture. 

You will build strong working relationships with our wider recruitment & payroll teams and our branch management teams within our stores, as well as our regional support and office teams. 

No previous HR experience is required and training will be provided as part of the role.

Role Responsibilities

  • Maintain HR database ensuring accuracy of data at all times with regards to new starters, change of contract details, probation status and personal details 
  • Maintain computerised and paper-based colleague records 
  • Co-ordination of all pre-employment checks such as right to work checking and permits 
  • Calculation of pay and hours 
  • First line support for all people enquiries, both internal and external, over the phone and by email 
  • General administration support including daily department post 
  • Monitoring and coordination of fixed term and seasonal contracts with line managers 
  • Liaising with our branch and office teams to send/collate letters and information in a timely and accurate manner, liaising with external support as necessary 
  • Monthly, quarterly and year-end data reporting

  Essential Skills and Experience

  • Previous administrative experience within a fast-paced environment.
  • High levels of accuracy and attention to detail and the ability to proofread own work and that of others. 
  • Passion for working with people and supporting a great workplace.
  • Excellent communication skills, both written and verbal.
  • Has a confident manner, excellent interpersonal skills and the ability to build positive working relationships and establish rapport with people at all levels.
  • Understanding of GDPR.
  • Proficient with Microsoft Word, Excel, Teams and Outlook with a willingness to learn new systems.
  • Proactive, positive and takes a solutions based approach when problem solving.
  • Ability to prioritise workload and work under pressure with a flexible approach.
  • Good numeracy skills.

Desirable Skills and Experience

  • Previous administrative experience within an HR team
  • Experience using HR systems, specifically Advanced/HRPro
  • Retail sector and/or multisite experience
  • Experience with UK Right To Work checking processes
